Employee Education

Communication & Engagement

We’ll make sure your employees understand both the benefits plans they’re being offered as well as the enrollment process itself. Before the enrollment starts, Ward Services communicates high-level benefit information to your employees in the medium most accessible to them. When it’s time to enroll, we work to make sure your employees are well-informed about their benefits options during their one-on-one enrollment session with our benefits counselors.

Meetings

On-Site Meetings

When it’s time to enroll, a Ward Services benefits counselor will meet onsite with each and every one of your eligible employees to make sure they understand their benefits options and are making the most of the plans they’re being offered. We don’t push sales and will work with your team to answer any questions or concerns they have. Your employees can set up an appointment at a date and time that best suits them, and we offer online scheduling solutions. We will work with you to ensure all social distancing guidelines are upheld during the meetings.

Call Center Enrollments

We offer full support for handling enrollments over the phone with optional video conferencing. Our call center enrollments operate at the exact same capacity and responsiveness as our on-site enrollment solutions. Phone calls are handled over a secure, recorded line. Video conferencing is handled in compliance with HIPAA standards. Your employees will still get a one-on-one enrollment experience at a date and time they choose, but they do not need to be physically present with our counselors. Just like with our on-site meetings, employees can schedule their appointments online.

We’re carrier neutral and work with Aflac, Allstate, Colonial, Combined, ID Experts, Madison National, Minnesota Life, The Standard, Sun Life, Transamerica, Trustmark, UNUM, Voya and many more! We also support enrollments through online enrollment platforms such as BenSelect. If needed, we can enroll core and voluntary benefits across multiple enrollment systems.

Security

Security

We value the security of your employees' personal data. We are PCI-DDS Section 6 Data Security Compliant and SSAE 16 Compliant. Our IT Security support is hosted through VC3, Inc. in Columbia, SC. Our data is backed up in multiple data centers. We use 256 bit encryption and TLS for all personal information transmitted over the internet. Ward maintains an SFTP secure server for transmitting census data and other PHI sensitive file sharing. We are compliant with South Carolina's Insurance Data Security Act.

Ward Services works to make the entire enrolment process smooth from start to finish. During the enrollment, our case planners will work closely with you to monitor your locations and provide additional resources when needed. We also offer full support for brokers, carriers, employers and employees both during and after the enrollment through our call center.
